Appointment Reminder call

The most important call is the appointment reminder call. This call will remind patients of their appointment and can tell them important instructions. This call consists of 2 crucial recordings that must be recorded by ARS clients:

A) First is the recording of your practice or office name. This will be stated at the beginning of the call so that the recipient will be willing to hear the remainder of the call.

i.e. Doctor Rosens Office or Optimum Day Spa

 

B) Second is the greeting that you would like to offer your clients. This will include greeting your clients and reminding them of any general office procedures or instructions

i.e. Hi, this is Dr. Rosens office calling to remind you of your appointment at my South street office. Please confirm your appointment on this call and make sure you are prompt. If you must reschedule this appointment please listen to the remainder of the call and connect to my office immediately. I look forward to seeing you!

Or

Hi, This is Optimum Day Spa calling to remind you of your appointment with us. Please make sure to arrive 5 minutes before your appointment time in order to prepare for your treatment. We look forward to seeing you!

 

Our systems will then continue to remind your client of the day and time of their appointment and ask them to confirm, cancel or connect to your office for rescheduling.

 

Note: It is important to keep your recorded greeting short and to the point. Also realize that all your clients will be hearing the same message (unless call sub-types are created from the set preferences page) so make sure that your recording is general enough to cover all types of appointments.

 

Welcome Calls

Welcome calls will be made to welcome your new clients to your office. During this call, only your personal message will be played.

i.e. Hi this is Dr. Rosen calling to welcome you to my practice. Your health is my priority and I look forward to treating you as my patient. My office offers automated appointment reminder calls to remind you of your upcoming appointment. Please use this call to inform me of your true intentions to attend your appointment. Have a nice day!

 

Cancellation Follow-Up call

This call is intended to followup with all of your cancelled appointments and asks them to connect to your office for rescheduling.

i.e. Hi this is Dr. Rosen calling regarding your cancelled appointment. Your health is my priority and I urge you to reschedule your appointment for a more convenient time. Please use this opportunity to connect to our office for rescheduling. In case I am not in, leave me a detailed message and I will return your call

 

Our systems will then proceed to offer your client the ability to connect to your office for rescheduling.

 

Provider cancellation call

 

This call will enable you, the provider, to have your clients called and notified that you need to cancel your appointment, they will have the ability to connect to your office for rescheduling.

i.e. Hi, this is Dr Rosen calling to inform you that I will not be able to meet you for your appointment. Please connect to my office to reschedule. Sorry for the inconvenience!

 

Our systems will then offer to connect your client to your office.

 

Well Visit

Well Visit calls enable you to send out a call to your patients reminding them that its time to schedule their well visit.

i.e. Hi this is Dr. Rosen calling to remind you that its time to schedule your well visit appointment. Your health is my priority and your well visit will help ensure your health. Please take this opportunity to connect to my office and schedule an appointment. I look forward to seeing you soon!

 

Our systems will then offer to connect your client to your office.
